ShowHound collects account, artist profile, venue workflow, outreach, billing-status, feedback, and support data needed to provide the service. Payments are processed by Stripe; ShowHound stores billing status and audit records, but not card details.
Optional Gmail connection. Gmail is optional. ShowHound requests Gmail read-only access for optional relationship/reply reconciliation and optional Writing Style analysis, and Gmail compose access only to create a Gmail draft after you explicitly ask. ShowHound never sends email.
Relationship Context. When separately enabled, ShowHound reconciles only threads tied to ShowHound-created Gmail drafts. It reads message and thread IDs, labels, dates, and selected headers to identify factual booking-workflow events. For a matched reply only, it may process the reply body ephemerally to detect a redirect, bounce context, or conservative booking-workflow prompt. Raw bodies, snippets, attachments, and thread links are never stored or shown in product surfaces, and are never sent to OpenAI. Encrypted Gmail IDs and minimized hashes/derived evidence are retained for up to 90 days.
Writing Style and AI. When separately enabled, ShowHound reads selected sent booking-email bodies to derive abstract Writing Style preferences. Bodies are processed in memory, never stored, and never sent to OpenAI. Abstract, user-specific preferences may be supplied to OpenAI with provider storage disabled to create that user’s drafts. Google data is not used for advertising, sale, lending, data brokerage, or training/improving a shared or general AI model. You may reset Gmail-derived Writing Style in Account Center; disconnecting Gmail preserves it until reset or account deletion.
Gmail draft creation. If you choose to save a ShowHound-generated message to Gmail, ShowHound uses Gmail compose access to create that draft in your Gmail account. ShowHound may retain related ShowHound workflow records needed to track the draft and subsequent booking workflow, but not the Gmail message body.
Controls, replies, redirects, and disconnect. Signed-in users can manage Gmail features, reset Gmail-derived Writing Style, and disconnect. Reply, bounce, redirect, and booking-workflow prompts stay private. ShowHound asks before marking consequential outcomes or confirming that a contact worked. A possible updated booking contact detected from Gmail stays private, expires within 30 days, and is never automatically added to shared venue/contact data. A user may manually submit contact information for administrative review after an explicit affirmation; neither the Gmail message nor Gmail identifiers are published. Disconnecting deletes encrypted OAuth tokens, pending private detections, private reply/contact-verification evidence, and Gmail identifiers.
Account deletion. Users may request account deletion from Account Center. A deletion request locks product access, disconnects Gmail, stops future subscription renewal, and starts deletion or anonymization of ShowHound product data, including Gmail-derived data and Writing Style profiles. Processing may be asynchronous. Billing, tax, dispute, fraud-prevention, security, and legal records may be retained where required, and backups may retain deleted information until rotation expires.
ShowHound's use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including Limited Use: Google user data is used only to provide or improve these user-facing features, is not transferred for advertising or other prohibited purposes, and human access is limited to explicit user-requested support, security/abuse investigation, or legal obligation. Tokens and retained Gmail identifiers are encrypted by ShowHound; authorized support/database operators may access only operational records when necessary.
ShowHound's public beta is currently focused on Texas and Oklahoma. Venue and contact coverage is actively growing across those states and may vary by area as ShowHound expands into additional markets. Early users help improve coverage through normal use and useful venue contributions, but users should still verify important booking details before relying on them.
